Benefits Reminder: Out-of-State Moves can Impact Benefits
Some benefits, like specific HMO health plans, are only eligible within California. If an employee moves out of state they will need to review their benefits plans to avoid any interruption. Details on all benefits are available on this website. Information on temporary moves can also be found on the Berkeley People & Culture website.
AB119 Non-Compliance Fines Effective 7/1/2022
Beginning July 1, 2022, SB-270 takes effect authorizing exclusive representatives to file a special unfair practice charge with PERB, which can result in a penalty of up to $10,000, for each violation of AB-119. AB-119 requires public employers, including UC, to provide unions with an accurate list of new (within 30 days of employment) and current employee names, job title, department, work location, and contact information.
More information can be found on the Berkeley People and Culture webpage. Please confirm position location codes are correct to ensure compliance with AB119.

Payroll
STP and SAS Earn Code Attributes Updated
The earn codes STP (Stipend-Admin-Academic) and SAS (Stipend-Admin-Staff) will no longer assess leave charges because they are not eligible for leave accrual.
Updated Dates on the Payroll Processing Schedule
The 2022 UCPath Production Processing Schedule was updated on May 20, 2022. The processing dates for Run ID Schedules 221031M0X and 221231M0X have been adjusted. These are the monthly payrolls on October 31 and December 31.
To see the updated schedule, follow the following steps:
- Navigate to UCPath > Quicklinks > Payroll Resources > and select Payroll Processing Schedules & Working Hours > and then select the appropriate schedule for 2022.

PayPath “Freeze” for July Range Adjustment for Non-Ladder Rank Faculty
The PayPath “freeze” dates are 07/01/2022 through 07/07/2022. During this time do not process any PayPath transactions for any employee records that are part of the range adjustment.
You may still submit hire, rehire, and any other types of transactions that do not affect the employee records going through the range adjustment process.
PayPath transactions for the affected population may resume on Friday, July 8th, 2022.

Position & Job Data Update Form
UCPath combined the Job Data Update form and Position Update form into one consolidated form. The newly created FR.137 Position & Job Data Update form includes all applicable position and job data fields needed for correction requests. UCPath will discontinue previous versions of the forms and will no longer accept them after August 31, 2022.
Effective immediately, begin using the newly created Position and Job Data Update form located in the UCPath online forms library.
To locate the Position and Job Date Update form in UCPath, click the following options:
Forms Library > Access Forms > scroll to the "Human Resources" section >
select the "Position & Job Update" form
To request a correction to an employee’s position or job data record, fill out and complete the Position & Job Data Update form. Then submit the form by logging in to UCPath and clicking on “Ask UCPath.” Use the following options when creating your inquiry:
• Topic: Select “Workforce Administration”
• Category: Select “Submit Form – Workforce Administration”

New Field in HR Templates
Four HR templates have been updated to include the “Override Last Date Worked” check box. When initiating these templates, there is no action needed on this new field; it should be left as is.
The checkbox was added so the UCPath Center, when processing a template transaction, could ensure that the system uses the “last date worked” entered into the template. This was most commonly a problem if there was a future dated row after the effective date of the termination template.

Absence Management
Catastrophic Leave Policy Updated
The Catastrophic Leave policy and new process is in effect as of today, 7/1/2022.
Catastrophic leave is a program available in which employees who have exhausted their leave accruals can receive vacation donations from other employees when a family member or the employee themselves is experiencing a catastrophic event (as defined by policy).
As of July 1st, donations are made directly to a bank here at UC Berkeley which is managed by the Benefits and Leaves team. Please review the policy for additional details.. Any questions can be sent to CatLeave@Berkeley.edu.
Unit-18 PFCB
To align with the Unit 18 contract, new leave types were created in UCPath for the Unit 18 pay for Family Care and Bonding (PFCB) pay option to take effect Jul 1, 2022. The system will be updated next week, transactions cannot be made in the system until it has been updated.
The Unit 18 PFCB pay option provides income replacement for up to (4) four work weeks per calendar year. This pay option will be available to Unit 18 Faculty who are on an approved Family and Medical Leave (FML) or Qualified Personal Leave, for parental bonding, to care for a family member with a serious health condition, for Military Caregiver leave, or for Qualifying Exigency Leave.
A job aid will be published soon to cover additional details regarding the use of Unit 18 Pay for Family Care and Bonding (PFCB) within the UCPath Help website for locations.

Updated Emeriti Processing Following Retirement Job Aid
This job aid was formerly called “Emeriti Processing for July 1 Retirement date. It has been retitled to “Emeriti Processing following Retirement” job aid. They updated part two of the process for hiring employees back as an Emerita/us. A section was also added for when an academic year employee should be retired to avoid over/underpayment.
