Berkeley UCPath Training Requirements
Several UCPath elevated roles require training to get access, especially roles that allow transactors to submit (or initiate) transactions in UCPath.
We recommend that Approvers complete training to gain a deeper understanding of the system, including downstream impacts.
Never Had Access Before?
You’ll need to complete all required training before you can be granted access to UCPath.
Already Had Access?
Your training requirements depend on your situation:
New to UC Berkeley? Had a break in service longer than 90 days?
You will need to retake all required training, even if you completed UCPath training at another UC Location. This includes:
- Employees transferring to Berkeley from another UC campus.
- Employees returning after a break in service of more than 90 days.
Why? UCPath is constantly evolving, and training differs across locations. We want to make sure you've got the most up-to-date information and are familiar with Berkeley-specific processes.
Transferred to a new job within Berkeley? Had a break in service less than 90 days? Took training, but forgot to request access?
You must show that you have current knowledge and confidence in using UCPath. You can meet this requirement in one of three ways:
- You completed training within the last 6 months, OR
- You completed training at any time and used the role within the last 6 months, OR
- You completed training at any time and can pass a practical assessment
This applies to employees with no break in service, or a break in service less than 90 days, including (but not limited to):

Internal job transfers at Berkeley

Anyone who took training but never submitted their SARA request or used the system
Why? Even if you’ve trained before, UCPath roles and processes can change—and skills fade over time without use. We want to make sure you’re set up for success with the right knowledge and confidence before you start transacting.
Training Eligibility - Which Training(s) can I take?
You only need to take training for the UCPath access roles you’re eligible for!
Anyone is welcome to take our trainings to learn more about UCPath. However, completing training does not guarantee access—access depends on your job duties and what roles you’re approved for.
Here’s a general breakdown:

Berkeley Regional Services (BRS) transactors are typically eligible for the full suite of UCPath training and access.

Department transactors are usually eligible for fewer training modules, unless they’re in specific units like ERSO or L&S, which may qualify for a broader set.

Department Transactors:
In general, these trainings are available to Department transactors*:
- (Vacant) Position Management (creating and updating vacant positions)
- Funding Entry / Position Funding (adding chartstrings or funding sources to positions)
- Cost Transfers (redistribution salary and benefit costs from one chartsting to another)
Certain ERSO and L&S Department Transactors:
In general, these trainings are available to certain ERSO and L&S Department transactors*:
- (Vacant) Position Management (creating and updating vacant positions)
- Funding Entry / Position Funding (adding chartstrings or funding sources to positions)
- Cost Transfers (redistribution salary and benefit costs from one chartsting to another)
- PayPath (filled position management, job data changes, and recurring additional pay)
- Smart HR Templates (hires, separations, transfers, and personal data changes)
- Employee Accrual Adjustments / Manage Accruals (adjusting employee accrual balances)
- Extended Leaves of Absence (adding and maintaining employee extended leaves of absences)
Regional Users:
In general, these trainings are available to Regional Users*:
- (Vacant) Position Management (creating and updating vacant positions)
- Funding Entry / Position Funding (adding chartstrings or funding sources to positions)
- Cost Transfers (redistribution salary and benefit costs from one chartsting to another)
- PayPath (filled position management, job data changes, and recurring additional pay)
- Smart HR Templates (hires, separations, transfers, and personal data changes)
- Employee Accrual Adjustments / Manage Accruals (adjusting employee accrual balances)
- Extended Leaves of Absence (adding and maintaining employee extended leaves of absences)
- Additional Compensation (one-time & recurring) & Payroll Requests (off-cycles, final pay, overpayments)

Training Role Packages - Which Training(s) should I take?
Some units have developed "Role Packages" based on different job titles. Talk with your supervisor about which roles you need for your job. If those access roles require training, sign up in the Learning Center!
