Welcome! If your job requires you to work in UCPath—reviewing job data, submitting transactions, or approving updates—you’re in the right place. This page will guide you through: 


What Is a “Transactor”?

A UCPath Transactor is anyone whose job includes using UCPath to support HR, payroll, benefits, or finance work. This may include:

  • Viewing employee, position, or funding data

  • Submitting or initiating UCPath transactions

  • Approving UCPath transactions

Not all UCPath access is the same. Access is granted based on business need and supervisor approval. Learn more below about roles, training, and how to get access on our Access webpage.


Getting Started: 3 Key Steps

1. Request UCPath Access

Your access is based on:

  • Security Roles – What pages you can access.

  • Row-Level Security – What departments you can view or edit.

Visit the Access page to learn how to determine what roles you need and how to submit a SARA request.


2. Complete Required Training

Some roles (especially for submitting/approving transactions) require training. Visit the Training page to learn about our training requirements and eligibility.


3. Use the Transactor Hub

Once you gain access, the Transactor Hub in UCPath Self-Service will be your launchpad. It includes forms, tools, and calendars for:

  • HR Forms (e.g. Job Data, Position Updates, MLAs, Dual Employment)

  • Payroll Forms (e.g. Payroll Adjustments)

  • Benefits & Payroll Resources (e.g. Processing Calendars, Off-Cycle Dashboard)

  • Finance (e.g. Cost Recovery)

General Information & Foundational Skills

Review foundational skills and concepts to support your learning, growth, and success as a UCPath transactor, including technology skills, a Business Analyst mindset, and Position Lifecycles & Workflows.

Inquiry (View-Only) Access

Allows transactors to view UCPath data without making changes—ideal for roles requiring visibility only.

Person of Interest

Allows transactors to create and manage records for individuals affiliated with UC Berkeley who are not paid employees or contingent workers.

(Vacant) Position Management

Allows transactors to create, update, and inactivate vacant positions to support hiring and job alignment.

Funding Entry

Allows transactors to enter or update position funding. Remember, funding is attached to a specific position, department, and fiscal year set!

Cost Transfers

Allows transactors to process retroactive payroll cost transfers. Remember, best practice is to check that funding is properly set up for the position to ensure future Cost Transfers are not needed!

Talent Acquisition Management

Allows transactors to manage job postings and applicant materials in UCPath’s recruiting module.

Smart HR Templates: Hires, Transfers, Terms, Retirements

Allows transactors to process hires, transfers, separations, and retirements.

Benefits Resources

Review resources and job aids specific to employee benefits.

PayPath: Filled Position Management, Job Data Updates, and (Recurring) Additional Pay

Allows transactors to update filled positions, modify employee job data, and enter recurring additional pay.

(Recurring) Additional Pay & One-Time Pay

Allows transactors to request one-time and recurring additional pay through the Payroll module in UCPath. Note, recurring additional pay can also be added through the PayPath module.

Payroll Requests

Allows transactors to submit off-cycle requests, final pay for separating employees, and correct overpayments.

Extended Leaves of Absence

Allows transactors to submit and manage long-term leave requests, such as FMLA and PDLL.

Manage Accruals

Allows transactors to adjust employee leave balances for vacation, sick leave, and other accruals

Processing Calendars

UCPath Center Payroll Processing Schedule

The UCPath Center uses the Payroll Processing Calendar to manage the payroll process. This schedule is standard across all Locations using UCPath.

Please note, Berkeley Regional Services (BRS) has their own BRS Client Payroll Calendar.

Berkeley Regional Services (BRS) Client Payroll Calendar

BRS has its own internal deadlines shared with campus to ensure transactions are processed on time.

Visit their website if you would like to view or add their BRS Client Payroll Calendar Google Calendar.

General Ledger (GL) Processing Calendars

The UCPath Center posts and updates the GL Processing Calendars for each quarter on their Location Sharepoint Site. These calendars include when to get local Salary Cost Transfer (SCT) approvals in, Salary Cost Transfer batch processing dates, and imports to the Reporting Instance (RI).

Salary Cost Transfer Processing Timeline

Salary Cost Transfer Batch → Reporting Instance (RI)  → manual import to Berkeley Financial System (BFS) → CalAnswers

The manual import may take up to one week if there are issues with the journals.


Funding Entry Deadline

Funding Entry transaction approvals are due by 7pm the day before the Pay Confirm deadline. Please review the Payroll Processing Calendar for Pay Confirm dates.

Need data from UCPath? Use reporting tools to access real-time information relevant to your department or job responsibilities.

  • Report Center: Learn more about Cognos, CalAnswers, and UCPath-based reports.
