** UC Berkeley is continuing to pilot this functionality at this time**
Last month we introduced the new Manage Job tile that will be the future of processing Job Data changes, and will ultimately replace the PayPath and select Smart HR Templates pages. Later this Spring, we will announce training dates and details in a future communication. In the meantime, as we prepare to transition users to utilizing Manage Job, we aim to provide more information on the features of the new pages to give you a better understanding of what to expect. Remember, you already have access to these pages so feel free to explore the new UI.
Navigation Overview
Search Existing Page
-
Search Criteria
-
Similar to the Job Data > Find an Existing Value search page, Manage Job uses similar search criteria but adds the ability to search on Payroll Status (e.g., Short Work Break, Paid Leave of Absence, etc.)
-
My Recent Searches
-
Recent searches are displayed at the bottom of the page and will show your last 5 searches.
Job Actions Summary Page
-
The Empl ID is displayed underneath the employee’s name, followed by the Empl Record Number, followed by the Organizational Instance Type (e.g., Employee or Contingent Worker).
-
When selecting a record in Manage Job, by default, the most current Job Data row for that Empl Record will be displayed and provide high-level information about the record.
-
A caret (>) on the right side of the record will allow you to view more details about that Job Data row.
Job Details Page
-
Data is now presented in a top-down format, as opposed to in a tabular format (that you would normally need to click through) in Classic Job Data.
-
By default, the page is collapsed to only show the Work Location data section.
-
Each section can be individually expanded to show details related to the header category, or you can click the Expand All button to expand all headers to view all details.
-
There are new headers such as ‘Attachments’, ‘Validate’, and ‘Summary’ which introduce new system functionality which we will delve into in a future spotlight.
Excited to Start Exploring?
-
Search for and open a job record in Manage Job
-
View each of the headers in Manage Job > Job Details and compare the new user-interface with how Classic Job Data presents the same information
The data presented is largely the same and getting familiarized with how the data is presented in the modernized format will prepare you for success when we begin to rollout the new functionality for transactors.
Reminder: New Required Training for Manage Job Initiator Access
Given the substantial system changes associated with Manage Job, training is mandatory for all initiators who will process changes directly in Manage Job. Training is strongly recommended for familiarity with the new pages for those not directly involved in processing Job Data changes.
Training dates and specific details will be communicated later in Spring 2024 when we plan to widely provision Initiator access after the completion of training.
