UCPath Systemwide Updates
UCPath Notice: Phone Service introducing Virtual Agents
Recently virtual agents were added to the UCPath phone services to answer common questions. Over time, they will be able to handle a broader range of questions. For more information, see this Berkeley UCPath News Article.
UCPath Improved Navigation Follow up and Resources
Since the shift to the updated user interface in the UCPath system, our team has consolidated responses and clarification to some frequently asked questions. This communication covered new UCPath Center resources, including crosswalk documents for the Improved Navigation project; information on UCPath inactivity – session timeout, additional tabs in UCPath, and how to logout; as well as a reminder that the UCPath Workcenter is phased out as of today, November 4th, 2022. Updates to the BKBX Salary Plan
We write to inform you about some updates to the BKBX salary plan (encompassing the reader, tutor, GSI, and AI-GS title codes) that took effect in UCPath on October 1, 2022. The changes will further simplify the administration of these titles on the Berkeley campus.
1) Steps have been added to the following Acting Instructor-Graduate Student (AI-GS) title codes:
- Title code 2550: ACT INSTR-GRAD STDNT-GSHIP (Partial Fee Remission)
- Title code 2551: ACT INSTR-GRAD STDNT-NON-GSHIP (No Fee Remission)
For the above title codes, use of the steps below will derive the correct monthly rate based on the level of the AI-GS appointment:
- Step 1: AI-GS I
- Step 2: AI-GS II
- Step 3: AI-GS III
2) Steps have been added to the following Tutor title codes:
- Title code 2510: TUT-NON STDNT (Non-student)
- Title code 2860: TUT-GSHIP (Partial Fee Remission)
- Title code 2861: TUT-NON GSHIP (No Fee Remission)
For the above title codes, use of the steps below will derive the correct hourly rate based on the type of tutoring activity:
- Step 1: Tutor – Individual, Graduate or Undergraduate Student
- Step 2: Tutor – Group, Undergraduate
- Step 3: Tutor – Group, Graduate
Please use the BKBX Salary Plan and steps when hiring or reappointing ASEs into the above job codes with appointments effective October 1, 2022 or later. There is no need to adjust any current active records.
As the contract negotiations for the Academic Student Employees (ASEs) are ongoing, we do not yet have information on any potential salary increases for these titles at this time. The salary rates for titles in this unit will continue to follow the October 1, 2021 salary scales for the time being. The current salary rates are available on the People and Culture website at https://hr.berkeley.edu/labor/contracts/BX/current-rates.

Range Adjustments have been Applied
The 10/1/2022 eligible faculty records have been applied centrally. Units can run CalAnswer audit reports on employees eligible for the 10/1/2022 range adjustment as needed. Questions about the range adjustment, please contact appolicy@berkeley.edu.

Payroll Processing Schedule Date Change (December)
As a reminder, the dates on the Payroll Processing Schedule for December were shifted in July of this year. If you downloaded the schedule earlier in the year, please reference the current one posted in the UCPath Portal.

- Revised the “GL Post Confirm” dates from 1/3/23 to 12/29/22
221224B1X:
- Revised the “Stop Processing PayPath & Position Mngt” date from 12/27/22 to 12/26/22
- The date should have been listed as 12/21/22, but we have extended the date to 12/26/22 to allow further processing

New Cal Answers Report for ERC Codes
An ad-hoc report has been created in Cal Answers which pulls Employee Relations Codes (ERC) in UCPath for selected Org Node codes, Position Numbers, Empl IDs, or Job Codes.

- Current Position State (e.g., Filled, Vacant, etc.)
- Position Number
- Position Effective Date
- Employee Name
- Employee Record Number
- Job Code
- Job Code Desc
- Current Actual Headcount
- Employee Relations Status (i.e., ERC Code)
- Employee Relations Status Desc
The report should allow departments to more easily review ERC Codes for their orgs and make any necessary corrections.
Training
New Job Aid - Handling Expiring Work Authorization for Continuing Appointments
A new job aid has been created locally to outline the process for how to handle expiring work authorizations for continuing appointments. This job aid covers the processes in UCPath when an employee’s appointment end date is after their work authorization end date and the appointment is otherwise expected to continue. Though this applies to non-international appointees as well, this typically occurs for international employees when their appointment (with an end date) starts later than anticipated and their work authorization documents do not cover the entire length of their expected appointment. Following this process ensures that the benefits derivation process in UCPath accounts for the entire duration and % time specified in their appointment letter.
