UCPath Systemwide Updates

Emails from UCPath System - UCPath-Notifications@UniversityofCalifornia.edu

All emails from the UCPath system (except for W2s) have been updated to come from ucpath-notifications@universityofcalifornia.edu. Today, most of the emails already came from this address, but a few others have been recently updated. If you are using email filters for UCPath emails, please consider adjusting them by Subject Line or other criteria if you notice you are not getting expected emails (e.g. Application reports).

Upcoming Planned System Maintenance

UCPath is extending the standard planned UCPath maintenance window to complete critical tax and security updates.  UCPath will be unavailable during the following dates and times:

  • Start Time: Saturday, September 10, 10:00 p.m.

  • End Time: Sunday, September 11, 10:00 a.m.

Impact: During the planned maintenance, all employees, managers, transactors and the UCPath Center will not have access to UCPath. Please plan accordingly to make any necessary changes prior to the outage.

Berkeley UCPath Updates

New Calendar of Payroll Processing Dates

In response to a request from BRS transactional teams, to have a way to proactively remind users of upcoming UCPath Payroll deadlines and blackout schedules, the Berkeley UCPath Operations Team has created a Google Calendar version of the 2022 UCPath Production Processing Schedule.
This UCPath Production Processing Schedule bCal can be found on our Transactional Users page on our Berkeley UCPath webpage. The previous calendar from the Transactional User page can continue to be found on the Training page. Moving forward, system blackout dates will display on both of these calendars.
Calendars can be added to your personal calendar by clicking on the ‘+’ button underneath the calendar on the Transactional Users page. First, ensure you’re signed in to your CalNet account and click '+Google Calendar'. The calendar will be added to your bCal under the ‘Other calendars’ section on the left-side of your screen.

Notifications can be added to the events on this calendar:

  1. Click the three dots to the right of the calendar, once it has been added to your calendars
  2. Select settings
  3. In the “All-day event notifications” section, click “Add notification” and then adjust the notification based on your preferences
  4. To remove a notification, click the “X” to the right of the notification

Notepad Details now Available

Beginning September 13, 2022 the PayPath Initiator and WFA Template Initiator security role will now have access to review the Notepad in job data. This new role will allow users to view comments entered by UCPath WFA to track transactions that require correcting a record.

The navigation to this page is through Main Menu > Workforce Administration > Job Information > Job Data > Notepad

To use this page:

  1. Enter the search criteria, and then click “Search.”
  2. Ensure that you are on the “Work Location” tab.
  3. Click on the “Notepad.”
  4. Click on the subject line to view notes.
  5. View comments entered by UCPath WFA that required correcting the record.

Steps to use notepad in job data

Update to Payroll Inquiry Role - new pages

UCPath added additional pages for users with the Payroll Inquiry security role. These users now have access to these additional pages in UCPath:

  • Workforce Administration > Job Info > Job Data
  • Workforce Development > Profile Management > Profiles > Person Profiles
  • Workforce Administration > Job Information > Review Job Information > Workforce Job Summary
  • UC Customizations > UC Extensions > Admin-Review Absence Balance
  • UC Customizations > UC Extensions > SS Smart HR Transactions
  • Set up HCM > UC Customizations > Shift OnCall Rates

Hire Template - Important Reminder

Hire Template - Important Reminder
Prior to entering a Hire template, make sure to double check the Person Organizational Summary and Search for People pages to verify that the individual being hired does not already have a UCPath Employee ID.
UCPath Navigation:

  • Main Menu > Workforce Administration > Personal Information > Person Organizational Summary
  • Main Menu > Workforce Administration > Personal Information > Search for People

Training

Updated HR Template Transactions - Action Reason Codes and Descriptions Job Aid 

The Template Transactions - Action Reason Codes and Descriptions Job Aid has been updated with new Action Reason codes.

Some outdated (no longer used) Action Reason codes have also been removed. A summary of changes can be found here.

Updated the Processing a Transfer in UCPath Job Aid 

The UCPath Operations team created a job aid around the Notepad Feature in Job Data. The Notepad displays notes on the first tab (Work Location) of Job Data. The Notepad is used by the UCPath Center WFA team to document manual corrections to records, often connected to inquiry requests, which can’t be tracked through location-entered transactions.

Reporting

R-372 Accruals Summary Report replaced by R-022 Leave Accruals and Balances Summary Report

UCPath has decomissioned the R-372 Accruals Summary Report and replaced it with the R-022 Leave Accrual and Balances Summary Report. If you were using the R-372, you may now use the R-022 report instead.
