UCPath Improved Navigation Go-Live
The UCPath system has begun receiving a series of enhancements that address current defects AND streamline the user experience!

Improved Navigation
UCPath's administrative navigation is getting a makeover! Effective October 17, the new Fluid interface will bring a more modern, intuitive design to the system.
Setting the Scene
The current UCPath system has two views: UCPath Portal and PeopleSoft.
- UCPath Portal (UCPath Online): This is the view you see when you log into the UCPath system — it’s easily identified by its colorful interface and the left-hand navigation that displays your name and EMPL ID.
- PeopleSoft (Native PeopleSoft): This is the view you see when you open 1) a non-Portal page or 2) a page in a new window — it does not have the colorful interface of the UCPath Portal.
With the improved navigation, PeopleSoft pages will be opened in a new window, rather than navigating to these pages within the UCPath Portal.
Who does this impact?
These changes will only be visible to users with expanded access roles:
- Initiator
- Approver
- Inquiry
Self-service pages will not be impacted (i.e., employees who do not use UCPath for HR or Payroll related work will not see a change).
How can I prepare?
Immediately
Reserve time on your calendar to join us for one of the upcoming Improved Navigation webinars, presented by the UCPath Operations team during the first two weeks of October.

Once the new interface is implemented, only UCPath Portal pages can be saved as Bookmarks — all PeopleSoft pages must be saved as Favorites.
To ensure you don’t lose easy access to the pages you need, follow the directions in our Saving Bookmarks as Favorites video or job aid no later than October 14.
Will the system be down during this transition?
Yes, the system will be down on Saturday October 15th as the updates are implemented.
UCPath Downtime
UCPath will be unavailable during the following date/times to implement the UCPath fluid navigation:
- Start Time: Saturday, October 15, 6:00 a.m.
- End Time: Saturday, October 15, 8:00 p.m.
Impact: During the planned maintenance, all employees, managers, transactors, applicants and the UCPath Center will not have access to UCPath. Please plan accordingly to make any necessary changes prior to the outage.

This year’s open enrollment period will start Thursday, October 27, 2022, at 8 a.m. and ends Friday, November 18, 2022, at 5 p.m.

Employee Personal Emails
All employees should have a personal email listed in UCPath. This is what allows them to access the former employee portal and get their W-2 and employment verification information if they ever separate from the University of California.

UCPath Fax Number Changing
UCPath is discontinuing fax number 1-951-697-6839 effective September 30, 2022. Please send all fax correspondence to the published UCPath toll-free fax number 1-855-982-2329. Please remove fax number 1-951-697-6839 from fax cover sheets, letterhead, public websites, etc.
Do not share 1-951-697-6839 as a UCPath fax number. Inform external agencies to use the published UCPath fax number 1-855-982-2329.

Work-Study: Important Update and Training Resources
The Financial Aid & Scholarships Office (FASO) recently sent a message to provide an important update and training sessions available for the Work-Study Program and the new Learning Aligned Employment Program (LAEP). This message contains additional information about the training offered and how you may register for a course.
Additional Pay Update to Off-boarding System Process for Terminated Employees
Currently, when an employee leaves a position, if they have additional compensation, a transaction is required to be put in to end the additional compensation (such as a stipend) with the same end date as the employee’s end date for the position.
This practice needs to continue to ensure that employees are not overpaid if the position is refilled. As a safety net to help prevent overpayments or incorrect pay, UCPath is deactivating systemwide general deductions, additional pay, active stipends and active direct deposits for terminated employees without active appointments after 60 days.
The change will be effective mid-October of 2022. This change aligns with UC policy and best practices and ensures more accurate and up-to-date employee records. Please note that the update applies to system-wide general deductions for terminated employees only. The process will not include garnishments and locally managed deductions.
UCPath Alert: Range Adjustment Discrepancies
Due to the number of errors identified for the entire population and the complexity to try and resolve, UCPC has made the decision to DELETE ALL ROWS that were added by UCPath on 09/12/2022 and 09/13/2022. They expect to have the 10/01/2022 PAY/REF rows added by UCPath during the compensation refresh process removed.
The plan will be to lift the blackout freeze today, allow updates and restart the range adjustment process after the monthly pay confirm for September hours on 09/27/22. A new timeline will be sent out once dates are confirmed. Please do not submit a case to request a fix to the future dated rows. Please do not add a 10/1/22 row to try and resolve errors identified for rows that will be deleted.

Vacation Maximum Balance for Part-Time Academic Employees
UCPath identified a defect that reduced the vacation accrual maximum balances for academic employees who work hours less than a full-time equivalent (FTE). The vacation accrual maximum limit is 384 hours for all eligible employees, regardless of FTE. The error impacted monthly academic employees during the pay period ending July 31, 2022.
UCPath is tracking and attempting to resolve the issue. Please do not submit requests for accrual updates related to this issue. We will provide an update once the issue is resolved.

R-406 Final Pay Transactions report
A new Cognos report has been created. The R-406 Final Pay Transactions report is now available for anyone who has access to the WFA Cognos folder.
Available fields include:
- Employee ID
- Employee Record
- Employee Legal Name
- Org Relationship
- Job Effective Date
- Job Action Date
- Template Initiator
- Template Date
- Job Action
- Job Action Reason
- Business Unit
- Union Code
- Department ID
- Department Description
- Employee Class
- Employee Class Description

- Jobcode Description
- Duration
- Term Timings
There are also columns for “duration” and “term timings” to calculate the number of days between the “Job Effective Date” and the “Job Action Date” and categorize a termination as “entered on or before term date” or “entered after term date.”
This report will help identify terminations entered in UCPath after the effective date of the termination.
Training
New Training for Moving Bookmarks to Favorites
With the updates to UCPath navigation going live in mid-October, our team has created a tip sheet and microlearning video (Saving Bookmarks as Favorites) walking through how to transition bookmarks to favorites. Once the new interface is implemented, only UCPath Portal pages can be saved as Bookmarks — all PeopleSoft pages must be saved as Favorites. Pages already saved as Favorites will not be affected and will continue to show up.
To ensure you don’t lose easy access to the pages you need, follow the directions in our Saving Bookmarks as Favorites video or tip sheet no later than October 14.
