How to use Special Training Codes

Within UCPath Position Management, users can access the UC Position Data tab to input Special Training Codes. These codes indicate which positions require Federal and State government training and are automatically sent to the UC Learning Center each night. By utilizing these codes in UCPath, various required compliance training can be automatically assigned to incumbents in these identified positions.

The UCB Learning Center mandates that all positions requiring the specific training listed below must have their codes included in the UC Position Data within UCPath. These codes are:

L - Clery CSA
F - Form 700 Filers – COIDO
M - CANRA Mandated Reporter
G - Ethics and Compliance Briefing for Researchers
Note: Multiple codes can be entered on the Position. Codes B, E, R, S are shown in the Special Training Codes table but are not currently in use at UC Berkeley. In some cases, like SVSH, the UCB Learning Center already derives and assigns the required training, and therefore the Special Training code designations are not required in UCPath.

To ensure proper training assignments for each position, Position Managers/Administrators should work with Hiring Managers. The Hiring Managers should review the job description and supporting questions on JDX to determine if the position requires any specialized training.

For instance, to determine if CANRA special training is necessary (Child Abuse and Neglect Reporting Act - mandated reporting training), the Hiring Manager will assess the job description and answer the following questions. If any of the answers are "yes," then CANRA special training is required for that position:

  • Will this position work directly with minors?
  • Will this position work in a location where minors are regularly (or seasonally) present?
  • Will this position supervise someone who works directly with minors or supervise someone who works in a location where minors are regularly (or seasonally) present?
  • Will this position be responsible for receiving or intaking reports of abuse or neglect of a minor?

Identifies Campus Security Authorities (CSA), including individuals responsible for campus security, individuals to which students and employees should report criminal offenses, or individuals with significant responsibility for student and campus activities. Examples include campus police and security, resident advisors, and the Title IX coordinator.

ECB Researcher Trng Req

Principal investigators with at least $1 of extramural funding and any other personnel and students paid from extramural funding are required to complete the UC Ethics and Compliance Briefing for Researchers, or ECBR.  UCPath Position Management users should work directly with those responsible for creating their UCPath Funding Entries (e.g., Financial Analysts, Research Administrators, Administrative Officers/Managers) to determine which positions are paid $1 or more from extramural funding.

Cal Answers 

Cal Answers allows you to report on Special Training Codes captured in UCPath. This feature can be accessed by navigating to Campus Workforce Planning (HR) Dashboards > Workforce Detail > Position Management > Position Roster. On the Position Roster report, you will notice a new prompt and column for Special Training Codes which are available for your reporting needs. The addition of Special Training Codes in Cal Answers is intended to assist department HR administrators in identifying UCPath Position Numbers that may require an update to comply with training requirements within their unit.
